Events Organisers and Technology

Instead of fighting the tech world, why not hold hands and live happily ever after?

An Event Organiser's job is to create experiences, is to look for the best way to create a moment that will be remembered by the guests, is to create a scenery where networking can happen and business deals can be done, is to entertain, is to involve.

An Event Organiser is not anymore just a professional that hires catering, liaises with suppliers and vendors, and takes care of the speakers and guests. An Event Organiser, now more than ever is a creative, full of energy and up to date with the latest technologies professional who delivers enjoyable moments to its perfectly selected guests.

When I say "perfectly selected guests" I mean "perfectly selected guests". One of the gifts technology offers Events Organisers is DATA. So, months before the event, invites can be sent to specific niches of people, making sure you don't waste your time on "not interested in this kind of event" people. Analysing correctly the data available you can find your final target easily and invest your time and money in the right prospects.

My personal opinion about it is a little confusing, because, I agree that analysing data can facilitate professionals work and avoid waste of money. On the other hand, it becomes, purely, a computer's choice of who to invite and who not to. With computers everything is predictable, the NEW is missed.

Nowadays technology evolves exponentially bringing new ways of interacting with the world every now and then.

To engage people that are already being entertained by their mobiles has been a pretty tough task for organisers. So instead of fighting your enemy why not hold hands and live happily ever after?

Augmented Reality is one piece of technology that could help organisers to bring its guests' attention to the event itself because contrariwise Virtual Reality it brings fantasy to the real world. Therefore Virtual Reality could be great for an immersive experience.

Okay, rewinding...Virtual Reality: a totally new reality presented to users through big black glasses. Augmented Reality: the reality we live in with pieces of fantasy included, it is presented to the users through those same black glasses or through mobile phones and other gadgets, like the Pokemon Go app, remember?

So with just a pinch of creativity, an events professional can make magical experiences happen using VR and AV.

What about live streaming? Posts, comments? tweets and photos? Hashtags, Likes and dislikes? OMG! So many ways a guest can be distracted right? Wrong! Those are tools used by guests that end up helping the marketing team to promote the event. Organisers should encourage the use of social media by guests, suggesting hashtags, launching promotions and building special places so guests can take funny pictures and have a good time.

After event follow ups are simple in concept but difficult to be done efficiently. So technology gifted us one more time with personalization and customisation. Yes, by the end of the event we got to know a lot about our guests and we can give away memorable and unique pieces for them to bring home. What about PDF's, Ebooks, Webinars and Promotional Codes? Yes! They are great ways to tie the knot between you and your customer. And by now you can send different things to different groups of people that were at the same event.

Technology is an amazing tool that gives another flare to an event. It helps you to engage clients, create the impossible, promote the event and find your target. Technology can even bring an event to your house instead of you commuting to it.However, being present, talking face to face with each other and feeling the temperature of the room is still what makes an event such a magical experience.
